How can I find what’s short or missing from a delivery?
Count each line of the delivery against its packing list or invoice and look for lines
where you counted fewer than expected, including lines where nothing arrived at all. Do it
while the delivery is in front of you, and report what you find to the supplier with the
item numbers.

If the driver is waiting
Count the cartons or pallets against the delivery receipt before you sign, and look for
visible damage.
If the count or the condition does not match, note it on the paperwork the way your
supplier’s or carrier’s terms ask. Terms differ, so check yours ahead of a
big delivery. Photos of damaged packaging help.
Checking the contents
Unpack one line at a time and count it in the unit the list uses.
Mark each line as complete, short, or extra. A line with nothing counted yet is still
missing, not done.
Set aside anything that is not on the list instead of counting it against another line.
Write up the shortages with item number, description, expected quantity, and quantity
received, and send them to the supplier within the time their terms allow.
Where CountMinder helps
A running total. The count screen shows observed against expected for
the whole delivery, plus any excess.
Every line has a state: Short, Complete, Excess, or Not started. Filter
to Short to see exactly what still needs attention.
Count the units the list expects — individual parts, packs, or
cartons — and open packaging when you need to check the pieces inside.
Nothing is guessed. A scan that does not match the list is kept apart,
and an uncertain match asks you to choose.
Know when you have it all. When every expected item is counted,
CountMinder says so and sums up any extras. With the Unlock, export the count as a CSV
to send along with your report.
Its limits
CountMinder records what you counted. It does not contact the supplier, sign for the
delivery, or file a claim for you.
The list has to be a CSV; for a PDF or paper list, the app’s prompt helps you
convert it in your own AI assistant first.
The free version covers up to 20 different counted items and one active list; the
one-time Unlock removes those limits.
