How much PTO will I have by a future date?

Take your current balance, add what you will accrue on each paycheck between now and that date, and subtract any time off you have already planned before it. For example: 40 hours today, plus 3.08 hours on each of 6 biweekly paychecks, minus 16 hours already booked, is about 42.5 hours.

Doing it by hand

  1. Start from your current balance on your latest pay stub or HR portal.
  2. Count the paychecks that post on or before the date. Only those add accrual; a paycheck the day after your trip starts does not help.
  3. Multiply that count by your accrual per paycheck and add it to the balance.
  4. Subtract every day off you have already booked or promised before the date.
  5. Check your policy for anything that takes hours away: a cap that stops accrual, a carryover limit, or hours that expire at year end.

Can you take it now?

The balance you will have and the time you can safely take today are different numbers. If you spend hours now that a later trip was counting on, the later trip comes up short. Before booking something new, subtract the time your booked plans still need.
