Doing it by hand
- Start from your current balance on your latest pay stub or HR portal.
- Count the paychecks that post on or before the date. Only those add accrual; a paycheck the day after your trip starts does not help.
- Multiply that count by your accrual per paycheck and add it to the balance.
- Subtract every day off you have already booked or promised before the date.
- Check your policy for anything that takes hours away: a cap that stops accrual, a carryover limit, or hours that expire at year end.
Can you take it now?
The balance you will have and the time you can safely take today are different numbers. If you spend hours now that a later trip was counting on, the later trip comes up short. Before booking something new, subtract the time your booked plans still need.
Where PTO Minder helps
- A forecast across future pay periods that includes your accrual schedule, booked time off, and holidays.
- Safe to Use: how much you can take now while every trip you have already booked stays covered.
- Trip readiness, evaluated as of each trip’s start date: On Track, At Risk, or Short.
- Model a trip before you request it and watch the forecast and Safe to Use update.
Its limits
- The forecast is a projection from the rules you enter. Your employer’s records are the authority, and PTO Minder does not request time off for you.
- Setting accrual caps, carryover limits, and expiration dates is part of PTO Minder Plus, a one-time in-app purchase; the free version covers one balance-bearing bank.
- iPhone and iPad with iOS 17 or later.
